To start, to avoid emails automatically going to spam, I recommend
adding both to your contact list, namely :
*whisperingwaters.business(a)mailman3-lists.com and *
**whisperingwaters.social(a)mailman3-lists.com**
This is the first part of implementing the new email system.
I apologize up front if it seems complicated but it's not that difficult
once things are operational.
I have only loaded the names shown below for now for testing but I plan
to load the rest of the email addresses when we feel comfortable enough
to start live.
Please note that the only people that regularly see this email address
are the actual recipients (ie the owners who will be getting the email).
I have plugged in the Building and Unit numbers to help me (and others
when reviewing the list as a whole) to ensure it's complete and accurate
and because many email addresses are so obscure that one has no clue of
the owner. It's a little more effort for the list maintainer up front
but can save time later, not that you are concerned about that now:-).
Emily and Joe, among others that might be included, shall be Moderators
of this list. Moderators approve or release any messages submitted to
the list that are sent from folks who are not pre-authorised to send
emails. Most folks on the list are NOT pre-approved to maintain a
reasonable level of control.
People send messages to the entire list (ie all WW owners) by emailing
to*whisperingwaters.business(a)mailman3-lists.com .*
To avoid nastygrams and other undesirable messages such as from someone
outside Whispering Waters, Moderators review messages for inappropriate
content, sender, etc before releasing for publishing. The publishing
occurs as soon as the moderator releases each message.
In addition to Moderators, we anticipate some individuals will be
authorized to send emails without moderation. For example, we might
consider Burt Kline authorized to send out emails regarding elevators in
general and 'out of service' or other emergency-like circumstances to be
sent to 'all owners'. The 'all owners' decision for messages because
someone in one building might choose to visit or help someone in another
building and their decision might be affected knowing that a particular
elevator is/will be down for any specified time, etc.
Other folks might be added as situations arise and the folks will have
to be 'on their honor' to avoid abusing the system.
The system determines authorization by the sender's email address, so if
you are authorized with one email address but use another for some
reason, that message will be held until released by a moderator.
Moderator emails are automatically released with no further intervention
required so someone not familiar with the system might send an email to
you to submit on their behalf, much like we do with Julie presently, but
I hope that doesn't happen often and this should be discouraged because
it puts an extra burden on our Moderators.
The system automatically sends a message to all Moderators regarding any
new held messages requiring moderator approval to release for
publishing. Having multiple moderators may introduce the complication
that another moderator might have already released the email you
received about the held message, such that it shows zero waiting/held
messages when you go to the web page to check and release.
Some folks are closer to their computers than others:-).
Presently while the system contains only the five names & email
addresses shown in the image grab, please feel free to test knowing that
the emails will only go to we five people so no persnickety people will
have been severely damaged in this test. Once testing is mostly over, I
shall load the rest of the names from our most recent directory. And
yes, I have a secret shortcut to help with my fumble fingers typing but
still count on the occasional mistake.

You will need to login to the system and it's been ten moths since I did
that myself so I invite you to experiment and let me know how. It
should be intuitive but your mileage may vary.
As a training exercise, please try the following: logging in; checking
for held messages; display/read any held messages; release one or all of
them; send your own test message to the system to test for automatic
release; and anything else you would like to explore.
I have already added Emily and Joe as Moderators so you should be good
to go. I have added myself as a temporary moderator to track the
learning progress but expect to back out of that task when everything is
going well.
